This Privacy Policy explains how MKvO Pilates, trading as Muse Pilates (“Muse,” “we,” “us,” or “our”), collects, uses, shares, and protects your personal data when you visit musepilates.nl, book a class, purchase a membership, or otherwise interact with us. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Dutch Implementation Act (UAVG).

Muse Pilates is operated by MKvO Pilates, a business registered with the Dutch Chamber of Commerce (KvK) under number 62509411, based in Amsterdam, the Netherlands. MKvO Pilates is the controller responsible for your personal data.

We provide this information to Squarespace, our website hosting provider, so that they can provide website services to us and help us manage our relationship with you.

Memberships and subscriptions

When you subscribe and purchase a membership on this website, we collect personal information from you to enable your member access. We may collect information like your:

We provide this information to Squarespace, our website hosting provider, so that they can provide exclusive member site hosting services to us and help us manage our relationship with you. We provide this information to Squarespace, our website hosting provider, so they can provide website services to us and help us manage our relationship with you.

Service agreements and enquiries

When you contact us or agree to a service, we collect information necessary to negotiate, draft, and execute the service agreement. This information may include your business details (for example, project scope), email address, name, and phone number. This information is processed and stored securely through our use of the Squarespace platform.

6. Class and appointment bookings

When you schedule an appointment by booking on this website, we collect personal information from you to complete the booking. We may collect information like your:

  • Name

  • Email address

  • Phone number

  • Details relating to your appointment (for example, who referred you)

  • Files you uploaded

We provide this information to Squarespace, our online scheduling service provider, so that they can provide online booking services to us.

Please note: our primary class booking, scheduling, and studio management is handled through Momence, our booking and studio management platform. When you create a booking account, reserve a class, join a waitlist, or purchase a class pack or membership through Momence, your personal data (including your name, email address, phone number, booking history, and payment details) is collected and processed by Momence on our behalf. We may also use Momence to send automated service-related communications, including booking confirmations, waitlist notifications, schedule updates, membership information, class reminders, and other messages necessary to provide our services. These communications may be sent by email or SMS and are considered part of the services you have requested.

6A. Participation waivers

Before attending classes, workshops, events, or other activities at Muse Pilates, you may be required to complete a participation waiver and liability release. We collect and retain information provided through these waivers to assess participation eligibility, manage health and safety, maintain studio records, and protect our legal rights.

Information collected through waivers may include your name, contact details, emergency contact information, health disclosures, and your acknowledgement of the risks associated with physical exercise.

6B. ClassPass

If you book a class through ClassPass, certain personal information may be shared between ClassPass and Muse Pilates in order to facilitate your booking, attendance, payment, and customer support. The processing of your personal information by ClassPass is governed by ClassPass’s own privacy policy. We recommend reviewing their privacy policy before making a booking through their platform.

7. Health information (special-category data)

To make sure you can take part in our classes safely, our booking intake and participation waiver ask you to share certain health information. This may include details such as injuries, recent surgery, pregnancy, and relevant medical conditions. Under the GDPR, health information is “special-category data” and receives a higher level of protection.

We process this information only for the following purposes:

  • To assess your fitness to participate safely in Reformer Pilates and related movement.

  • To allow your instructor to adapt exercises to your needs and avoid aggravating an injury or condition.

Our legal basis for processing this information is your explicit consent, which you give through a separate, clearly marked checkbox when you complete your intake form. You are never required to provide more than is necessary, and providing health information is your choice, though we may be unable to let you participate if we cannot assess your safety.

Access to your health information is strictly limited. It is visible only to Muse Pilates and to the instructor teaching your class. It is never used for marketing, never shared with third parties for their own purposes, and is stored securely within our booking platform (Momence) and our internal records.

You may withdraw your consent at any time by contacting us at info@musepilates.nl. Withdrawing consent does not affect any processing carried out before withdrawal, and we will delete your health information when it is no longer needed for your safe participation, unless we are required to retain it to defend a legal claim.

8. Invoices and payments

We use branded invoices to collect payments. We share this information with Squarespace, our website hosting provider, so they can provide invoicing services to us. We may collect information like your email address, invoice details (for example, line items), name, and payment history.

When you make a purchase from us on this website, we use Squarespace Payments as our payment solution. Squarespace Payments is a fully integrated, native payment solution provided to us by Squarespace. Squarespace Payments makes use of the following third-party service providers, which will also receive your personal information and process it in accordance with their privacy policies:

Squarespace also makes use of Stripe to power automated tax calculations. For this purpose we may collect information like your billing and shipping address, details relating to your purchase (for example, Product Tax Codes for the items purchased), and name. Stripe may receive personal information and process it in accordance with their privacy policy.

9. Emails we send you

Marketing emails

We may send you marketing emails, which you can unsubscribe from by clicking the link at the bottom of the email. We provide your contact information to Squarespace, our email marketing provider, so they can send these emails on our behalf and help us manage our relationship with you. We send marketing emails only where you have consented or where otherwise permitted by law.

Abandoned cart emails

You’ll receive an automated email within 24 hours after you abandon your shopping cart, if all of the following occur: you enter your email address at checkout or are logged into your customer account; you add a product which is in stock to your shopping cart; and you close your browser or leave this website without completing your purchase. You can unsubscribe from these messages at the bottom of the email. The email will link back to this website, where you can complete your purchase.

Service and transactional emails

We may email you with messages about your order or account activity, for example to confirm that you’ve created a customer account, that your password has been reset or updated, that you’ve made a purchase, or that your order has shipped. It’s not possible to unsubscribe from these messages, as they are necessary to provide the service. We provide your contact information to Squarespace so they can send these emails to you on our behalf.

10. Website hosting

This website is hosted by Squarespace. Squarespace collects personal information when you visit this website, including information about your browser, network and device; web pages you visited prior to coming to this website; web pages you view while on this website; and your IP address. Squarespace needs the data to run this website, and to protect and improve its platform and services. 11. Fonts

This website serves font files from and renders fonts using Google Fonts and Adobe Fonts. To properly display this site to you, these third parties may receive personal information about you, including information about your browser, network, or device; information about this site and the page you’re viewing on it; and your IP address.

12. Social sharing, comments, and likes

This website may include share buttons which enable you to share pages or other content from this site to third-party services such as Instagram, Facebook, Pinterest, TikTok, WhatsApp, and email. If you click a share button, these third parties may receive your personal data, including information about your browser, network and device; details about the web page or content you shared or proposed to share; and your IP address.

Where this website includes commenting functionality, we collect personal information when you post a comment, including your name (which is displayed as part of your posted comment), your email address (optional, to let you know if someone replies), and your website URL (optional). Where “likes” functionality is enabled, we collect information about your browser, network and device, details about the content, and your IP address to prevent the same person from liking the same post during the same visit.

13. Who we share your data with

We share your personal data only with the service providers (processors) necessary to operate Muse Pilates. These currently include:

  • Squarespace – website hosting, e-commerce, analytics, invoicing, and email.

  • Momence – class booking, scheduling, memberships, and studio management.

  • ClassPass – third-party class booking, where you choose to book through their platform.

  • Stripe – payment processing and tax calculation.

  • Sift – fraud monitoring and detection.

  • Google (Fonts and Places API) and Adobe Fonts – site display and checkout.

We do not sell your personal data. We may disclose data where required by law or to protect our legal rights.

14. International data transfers

Some of our service providers (including Squarespace, Momence, Stripe, and Sift) are based in or process data in the United States or other countries outside the European Economic Area (EEA). Where your data is transferred outside the EEA, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so that your data continues to receive a level of protection consistent with the GDPR.

15. How long we keep your data

We keep your personal data only for as long as necessary for the purposes set out in this policy. Booking, membership, and customer records are kept for the duration of our relationship and a reasonable period afterwards. Invoices and financial records are retained for seven years, as required by Dutch tax law. Marketing data is kept until you withdraw consent or unsubscribe.

16. Your rights

Under the GDPR, you have the right to:

  • Access the personal data we hold about you.

  • Request correction of inaccurate or incomplete data.

  • Request erasure of your data (“right to be forgotten”).

  • Restrict or object to our processing of your data.

  • Data portability – to receive your data in a structured, commonly used format.

  • Withdraw consent at any time, where we rely on consent.

To exercise any of these rights, email us at info@musepilates.nl. We will respond within one month. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.

17. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against loss, misuse, and unauthorised access. Our service providers maintain their own security standards, and we share data only to the extent necessary to deliver our services.

18. Children

Our services are intended for adults. We do not knowingly collect personal data from anyone under the age of 16 without parental consent. If you believe a minor has provided us with personal data, please contact us so we can remove it.

19. Changes to this policy

We may update this Privacy Policy from time to time. The date at the top reflects the most recent revision. Where changes are significant, we will notify you by email or through a notice on this website.
